Sales & Customer Support Executive (Purchasing & Inventory Plan)

We are seeking a proactive and customer-oriented Sales & Customer Support Executive to join our team. This role combines customer account management, sales support, procurement coordination, inventory planning, and order fulfilment to ensure customers receive exceptional service throughout the entire sales process.

You will work closely with customers, suppliers, manufacturers, and internal teams to deliver the right products, at the right price, and on time.

Key Responsibilities

Customer & Sales Management

• Manage a portfolio of assigned customer accounts and serve as the primary point of contact.

• Process customer orders and provide delivery schedules to support customers' inventory planning.

• Handle customer sales enquiries for both cash and credit transactions.

• Build and maintain strong customer relationships while ensuring high levels of customer satisfaction.

• Identify opportunities to up-sell and cross-sell the company's products and services.

• Develop pricing strategies and negotiate competitive pricing with customers and suppliers.

• Resolve customer enquiries, complaints, and issues promptly, escalating complex cases where necessary.

• Prepare and release accurate sales invoices in a timely manner.

Order Fulfilment, Inventory Planning & Coordination

• Monitor outstanding customer orders through the ERP system and proactively follow up to ensure timely fulfilment.

• Maintain and monitor inventory levels to ensure sufficient stock availability based on customers' delivery schedules and forecast requirements.

• Plan and place purchase orders in a timely manner to ensure products are ordered and available according to customers' requested delivery schedules.

• Coordinate closely with suppliers, manufacturers, logistics providers, and internal departments to ensure on-time replenishment and delivery of products.

• Work collaboratively with internal and external stakeholders to meet customers' operational, inventory, and project requirements.

• Proactively identify potential supply shortages or delivery delays and communicate with relevant stakeholders to minimize disruptions.

Sourcing & Procurement Support

• Source products to fulfil customer enquiries and project requirements.

• Review and verify customer specifications and technical requirements before sourcing.

• Obtain, evaluate, and compare quotations from multiple suppliers to achieve the best value.

• Prepare and issue purchase requisitions and purchase orders to suppliers.

• Prepare customer quotations with supporting technical information, product specifications, and samples where applicable.

• Coordinate supplier payment requests in accordance with company procedures.

Digital Transformation & Continuous Improvement

• Be willing to adopt and leverage AI tools and digital technologies to improve work efficiency, productivity, and customer service processes.

• Demonstrate a continuous learning mindset by keeping up to date with emerging technologies, including AI applications relevant to the role.

• Perform any other duties as assigned by Management.

Required Skills & Experiences

• Diploma or Bachelor's Degree in any discipline. Candidates with qualifications in Electrical Engineering, Electronic Engineering, Mechatronics Engineering, or other related engineering fields will have an added advantage.

• Proficient in Microsoft Office applications, particularly Microsoft Excel (including VLOOKUP, PivotTables, and formulas).

• Experience with ERP systems is preferred. Familiarity with digital platforms such as HubSpot, Salesforce, online chat systems, or e-commerce platforms will be an advantage.

• Strong negotiation and coordination skills.
