About the Role
This is a highly hands-on role for someone who can design, build, and implement digital solutions independently. You will work closely with hospital leadership, operations, and clinical teams to improve how the hospital functions across both client-facing and internal processes.
This is not a purely strategic or coordination role. We are looking for someone who is comfortable getting directly into platforms, workflows, integrations, automations, and testing ideas quickly.
You should enjoy improving systems incrementally and pragmatically rather than over-engineering large theoretical solutions.
Key Responsibilities
Client Experience & Communication
Design and improve automated client communication workflows including appointment confirmations, reminders, follow-up communications, recheck scheduling and referral updates
Improve enquiry management and lead conversion into booked consultations
Support implementation of auto check-in and check-out kiosks
Improve digital touchpoints across WhatsApp, email, SMS, and CRM systems
AI & Automation
Build practical AI-driven workflows to improve hospital efficiency
Implement tools to assist with client enquiries, triage and routing, response time improvements and internal workflow automation
Assist with implementation of medical transcription and billing support systems for veterinary and nursing teams
Identify repetitive or manual workflows and replace them with scalable automated solutions
Systems & Integrations
Manage and connect platforms including CRM systems, booking and scheduling systems, messaging platforms, referral coordination tools and internal operational systems
Build integrations using APIs, webhooks, and no-code/low-code platforms
Ensure accurate data flow between systems and minimize duplication or manual entry
Reporting & Operational Insights
Create dashboards and reporting tools to track appointment volumes, conversion rates, client retention, communication performance and operational bottlenecks, etc
Use data to identify opportunities for workflow and service improvements
What We’re Looking For
Essential
3–6 years of hands-on experience building and implementing digital transformation, automation, CRM, or operational systems
Strong practical experience working directly inside systems and platforms
Experience building automations using APIs, webhooks, Zapier, Make, or similar tools
Understanding of customer/client journey design and service workflows
Strong problem-solving mindset with a focus on operational practicality
Comfortable working with data, reporting, and process optimisation
Able to work independently and execute quickly in a fast-moving environment
Nice to Have
Experience in healthcare, veterinary, medical, or other service-based industries
Familiarity with WhatsApp Business, chat-based workflows, or conversational AI tools
Basic scripting ability in Python or JavaScript
Experience implementing AI productivity tools or operational automation systems
