Description

Responsible for the end-to-end operational management of Warehouse and Customer Service functions, with oversight of Data Entry operations. Accountable for daily execution, service level performance, inventory accuracy, logistics efficiency, and cross-department coordination to ensure smooth business operations and high customer satisfaction.

PRIMARY RESPONSIBILITIES

Warehouse & Inventory Operations

  • Lead, manage, and oversee Warehouse operations, including stock receiving, storage, picking, packing, and outbound deliveries.

  • Responsible for inventory control and accuracy, ensuring all incoming and outgoing stock transactions are properly recorded and reconciled.

  • Manage stock aging, slow-moving, aged, and damaged inventory, including analysis, reporting, and arranging disposal or write-off with management approval.

  • Prepare and submit monthly stock aging and inventory status reports to management.

  • Ensure warehouse processes comply with company SOPs, safety standards, and operational controls.

  • Coordinate with transporters and logistics partners to ensure timely, accurate, and cost-effective deliveries to customers and branches.

Customer Service Operations

  • Oversee Customer Service operations to ensure high service standards, timely order processing, and professional customer communication.

  • Accept, process, and monitor customer orders, ensuring accuracy and proper follow-up until completion.

  • Handle and investigate customer complaints, including delivery discrepancies, damaged goods, system issues, and service-related concerns, and liaise with internal teams and transporters for resolution.

  • Follow up with customers to ensure high customer satisfaction, identify recurring issues, and support continuous service improvement.

Operations Management & Coordination

  • Assist in leading and managing the Operations team across Warehouse, Customer Service, and Data Entry, ensuring clarity of roles and accountability.

  • Monitor daily operations and manage operating costs, identifying inefficiencies and recommending improvements.

  • Facilitate effective communication between departments, working closely with the management team on operational decisions.

  • Monitor and follow up with branches to ensure compliance with company policies, sales operations, and administrative procedures.

  • Assist in troubleshooting system or operational issues and coordinate with relevant parties to resolve them promptly.

Sales & Administrative Control

  • Ensure daily sales collections are properly tracked, verified, and submitted to Accounts accurately and on time, in accordance with company policies.

  • Maintain proper documentation, records, and audit trails for operational and sales-related activities.

General Responsibilities

  • Maintain regular and consistent attendance, punctuality, and professionalism.

  • Carry out any other duties and responsibilities as assigned by the Company.

ADDITIONAL RESPONSIBILITIES

  • Assist to train, supervise, coach, and evaluate staff within Warehouse and Customer Service teams.

  • Support manpower planning, onboarding, and basic performance monitoring of operational staff.

  • Promote a service-oriented and process-driven culture, ensuring team adherence to SOPs and continuous improvement.

KNOWLEDGE AND SKILL REQUIREMENTS

  • Proficient in Microsoft Office applications and basic operational systems.

  • Strong coordination, problem-solving, and follow-up skills.

  • Ability to manage operational details while maintaining a customer-centric mindset.

  • Good written and verbal communication skills with internal teams and customers.

  • Able to work under pressure and manage multiple operational priorities.
