Role Overview
We are seeking a detail-oriented and proactive Accounts Assistant / Executive to support the finance operations of our shipping and freight forwarding business. This role will be responsible for handling day-to-day accounting functions, managing high-volume transactional entries, and ensuring accurate billing and reconciliation in a fast-paced logistics environment.
The ideal candidate should have experience in logistics-related accounting, including freight billing, vendor payments, and coordination with operations teams.
Key Responsibilities
1. Accounts Receivable (AR)
Prepare and issue freight invoices, debit/credit notes, and statements to customers
Ensure accurate billing based on shipping documents (BL, AWB, delivery orders, etc.)
Monitor customer accounts and follow up on outstanding payments
Perform AR aging analysis and support collection efforts
Reconcile customer accounts and resolve discrepancies with operations/sales teams
2. Accounts Payable (AP)
Process vendor invoices (shipping lines, transporters, agents, port authorities, etc.)
Verify supporting documents and ensure proper approval workflows
Prepare payment vouchers and process payments (GIRO, TT, cheque)
Reconcile vendor statements and resolve discrepancies
Ensure timely payments to avoid shipment delays
3. General Accounting Support
Record journal entries and maintain accurate accounting records
Assist with bank reconciliations and intercompany reconciliations
Maintain proper filing of financial documents
Support month-end closing activities
Assist in audit preparation and provide documentation as required
4. Operational & Compliance Support
Liaise closely with operations and customer service teams for billing verification
Ensure compliance with company policies and financial controls
Support GST / VAT reporting (if applicable)
Assist in maintaining proper documentation for customs and regulatory audits
Requirements
Diploma / Degree in Accounting, Finance, or related field
1–3 years of relevant accounting experience (Assistant level)
3–5 years of experience in logistics / freight forwarding accounting (Executive level preferred)
Experience handling freight billing and shipping-related documentation is an advantage
Familiar with accounting software (e.g., SAP, Xero, QuickBooks, or industry ERP)
Proficient in Microsoft Excel
Strong attention to detail and good organizational skills
Able to work in a fast-paced, deadline-driven environment
Good communication skills and team player
Preferred Experience (Nice to Have)
Experience in handling multi-currency transactions
Knowledge of Incoterms and freight cost structures
Experience working with shipping agents and overseas counterparts
Exposure to GST / VAT submissions
